As a PMO focusing on controlling and reporting within the Global CRM & Applications team, you will support the successful delivery of our global CRM transformation initiatives by ensuring accurate project tracking, reporting, and financial oversight. You will work closely with the PMO, project leads, and cross-functional stakeholders to maintain transparency, monitor progress, and support decision-making through structured reporting and analysis. Your role is essential in enabling efficient project execution and governance across multiple CRM-related initiatives.
Project Reporting & Documentation: Prepare and maintain regular project & commercial status reports, dashboards, and summaries for C-suite and program leadership as well as other stakeholders, leveraging BI tools for advanced reporting and data visualization. Document meeting minutes, action items, and decisions from project-related meetings
Project Controlling & Budget Monitoring: Support planning, monitoring, and controlling of project commercials, timelines, and resource allocations. Track actuals vs. forecasts and escalate deviations where necessary
License Management: Act as a License Manager and centrally collect license needs and coordinate those with the different Vendors (like Salesforce, Veeva PromoMats, etc.)
Milestone & Risk Tracking: Monitor project milestones, risks, and dependencies across multiple CRM initiatives (e.g. Salesforce OneCRM, MLR, Customer Master, Tender Management, etc.), ensuring visibility and alignment with overall program timelines and dependencies between the initiatives
Tool & Repository Management: Maintain central repositories for project documentation, templates and resources using tools such as JIRA, Confluence, DevOps and SharePoint
Meeting Coordination & Governance Support: Assist in organizing and coordinating project-related meetings, steering committees, and governance sessions. Ensure timely communication and follow-up on action items
Stakeholder Communication: Support day-to-day communication between project teams, leadership, and external partners. Ensure consistent and timely updates to relevant stakeholders
Process Optimization: Contribute to the analysis and improvement of project tracking and reporting processes. Identify gaps and propose solutions to enhance efficiency and accuracy
University Master’s degree in business administration, Project Management, Finance, or a related field
At least 3 years of professional experience in Pharma/ Life Science industries or Consulting, preferably in strategic and business-oriented roles, controlling, and/or consulting
Experienced in the coordination and management of commercial initiatives across multiple countries and business divisions within a multinational company
Excellent communication, presentation, and facilitation skills, with the ability to engage and influence diverse audiences and stakeholders
Profound project management and stakeholder management skills, including use of project management tools
Strong analytical skills and attention to detail, especially in tracking budgets, timelines, and KPIs
Proficiency in Microsoft Office (Excel, PowerPoint, SharePoint) and reporting tools (e.g. PowerBI, Tableau, ServiceNow Reporting) as well as independent, process- and result-oriented way of working
A Salesforce certification and/or Project management certifications is a plus
Fluency in the Germany and English language is required, any additional languages are an advantage
